Big 5 Global 2026 exhibitor guide: capture every booth lead and follow up the same day
A Big 5 stand is a large investment, and most of its return depends on what happens after the visitor walks away. Paper sheets, loose business cards and badge photos lose the context of the conversation.
This guide sets out a booth workflow you can run with CardFlow Expo: a QR visitor form, card and badge capture with notes, and a WhatsApp follow-up sent before the visitor is back at the hotel.

Set up before the show
01
Create your free company profile
Add your logo, contact details and real products with clear photos. Then add “Big 5 Global 2026” with your stand and hall to the profile: your company appears on CardFlow’s Big 5 exhibition page under exhibitors on CardFlow.
02
Pick Big 5 Global 2026 as your exhibition
In CardFlow, choose Big 5 Global 2026 from the exhibitions list (“Which exhibition are you visiting?”). It becomes your active exhibition and every scan is saved under it, so all show leads stay together.
03
Build and print your QR visitor form
Use the QR builder to create a visitor form with the fields you need (name, company, phone/WhatsApp, email, product interest, message), print it on the stand and on the counter, and test it from two phones before the show.
04
Install the app on every team phone
Android users can install CardFlow Expo from Google Play; iPhone users can add the web app to the home screen from Safari. Sign in and run one test scan per phone.
05
Agree your lead categories
Keep it simple: quotation requested, sample requested, distributor/partner enquiry, and general interest. Everyone on the stand should use the same words.
At the booth: three ways to capture a visitor
| Situation | Best capture method | What to add |
|---|---|---|
| Visitor wants a quotation or catalogue | QR visitor form on their own phone | Product interest and the request in the message field |
| Visitor hands you a business card | Card scan in CardFlow | A short note: product, quantity, project, next step |
| Visitor only shows a badge | Badge photo, then review and type the key fields | Ask for a WhatsApp number if they want follow-up |
CardFlow does not read official Big 5 badge barcodes. Badge capture is a photo-and-review workflow; for the organizer’s own lead-retrieval service, ask the organizer.
The 10-second rule: before the next visitor arrives, add one line to the lead — what they want, how many, for which project, and what you promised. That line is what makes the follow-up personal.
Same-day WhatsApp follow-up
At the end of each show day, open the follow-up queue. For each lead, CardFlow prepares a message with your company name, the exhibition and your catalogue link, then opens WhatsApp. You check it and tap Send yourself — nothing is sent automatically.
Hi {name}, thank you for visiting {company} at Big 5 Global today (stand {stand}).
As promised, here is our catalogue: {link}
I have noted your interest in {product}. I will send the quotation by {day}.

A simple team workflow for four days
- Assign roles per shift: greeter (points visitors to the QR form), product specialist (scans cards and adds notes) and follow-up owner.
- Hold a 15-minute review at closing time (18:00, or 17:00 on 26 November): check the day’s leads, fix numbers and assign each hot lead to one person.
- Send same-day WhatsApp messages for hot leads that evening; leave quotations for the 72-hour step.
- If hall Wi-Fi or mobile data is weak, keep capturing: the CardFlow web app can queue card photos and visitor details on the device and sync them once you are back online (text extraction runs after sync).
Business and Event Kit accounts include a shared team workspace (the Business plan lists up to 5 team members), so leads, notes and follow-ups are visible to the whole stand team.
Which CardFlow plan does a Big 5 stand need?
The company profile and the listing on CardFlow’s Big 5 page are free. For the show itself, the free plan’s limits (30 QR leads and 10 card scans per month, one exhibition) suit a test run, not a busy four-day stand.
| Plan | Price | Card scans (OCR) / month | QR leads / month | Exhibitions |
|---|---|---|---|---|
| Free | USD 0 | 10 | 30 | 1 |
| Pro | USD 19/month or USD 49/event | 300 | 1,000 | 10 |
| Business | USD 49/month or USD 149/event | 1,500 | 5,000 | 50 · up to 5 team members |
| Event Kit | USD 99 one-time, 14 days | 500 | 2,000 | Focused booth campaign |
